Can My Employer Track My Laptop Location? What They Can See

It depends on who owns the laptop, what software is on it, and what your employer’s policy says. A company laptop can be managed by your employer, and some management tools can show where a lost device is. A personal laptop is different. This guide explains what an employer can and cannot usually see, and how you can check your own laptop.

We use Microsoft’s Intune documentation on what an organization can see on enrolled devices, and Microsoft’s pages on Windows location, which we checked in October 2026. Intune is one management tool among many, so another company’s tools may work differently. This is not legal advice. Laws about workplace monitoring differ by country and state, so check your local rules and your employment contract.

Quick answer: can your employer track your laptop?

  1. On a company-owned laptop, yes, an employer may be able to see its location, installed apps and some settings, depending on the tools it uses.
  2. On a personal laptop that is enrolled in work management, the organization can see less, and Microsoft says it cannot see location on personal devices that are enrolled in Intune.
  3. Normal web browsing history, email, text messages, passwords and photos are listed as not visible in Intune’s data visibility page.
  4. Check your work policy, and ask your IT team. They must tell you what they collect.

How an employer might know a laptop’s location

There are several ways, and not all employers use them.

Device management software

A management tool, such as Microsoft Intune, lets a company manage laptops. Microsoft’s page says that on company-owned devices, location is visible for a lost device. That is a feature for finding lost laptops, and it depends on how the company set it up.

Windows location services

Windows can use Wi-Fi, mobile networks and the internet connection to estimate where a PC is. Apps can ask for this, and Windows shows when location is used. See Microsoft’s page on Windows location service and privacy.

The internet connection

When a laptop connects to a company service, the service can see the IP address. An IP address gives only an approximate area, not an exact address. This is general networking knowledge, not a Microsoft step.

Work apps and sign-ins

Work email, cloud tools and a work VPN record when and from where you sign in. This is separate from tracking the laptop, but it can show where you worked from.

What Microsoft says an organization can see

Microsoft’s Intune page on what info your organization can see when you enroll your device separates company-owned from personal devices.

Information that is never visible

For any enrolled device, Microsoft lists these as not visible: calling and web browsing history, email and text messages, contacts and calendar, passwords, pictures, and the content of the documents you create.

Information that is always visible

Microsoft says the owner, device name, serial number, model, manufacturer, and the operating system and version are visible.

Company-owned devices

On company-owned devices, Microsoft says an organization can see more. That includes the location for a lost device, the list of installed apps, and storage size when support checks it. On Windows devices, Microsoft says the organization can see file paths and file names, plus registry and event log entries, running processes and certificates, through a tool called Device Query.

Personal devices

On personal devices, Microsoft says location is not visible, and the app list is limited to managed work apps, although some setups may show more, so ask your IT team.

What this does not tell you

This is only about Intune. A company can use other products, such as security or monitoring software, that collect different things. Ask what your employer uses.

How to check your own laptop

These are common steps. Use them on your own laptop, and do not change anything on a company laptop without permission.

Check if the laptop is managed

  1. Open Settings > Accounts > Access work or school.
  2. If you see a work or school account listed, the laptop is connected to an organization. Select it and choose Info to see management details, if shown.
  3. Open the Start menu and look for a company app, such as Company Portal.

Check location settings

  1. Open Settings > Privacy & security > Location.
  2. See whether location is on, and which apps have recently used it.

Microsoft says that Windows shows a location icon when an app is using your location.

Check what is installed

Open Settings > Apps > Installed apps and look for work, security and monitoring tools. If you do not know a tool, ask IT before you remove it. Removing it may break company rules.

Read your policy

Check your employee handbook, device policy or contract. It may list what the company monitors. If the policy is not clear, ask in writing.

Signs that a laptop may be managed or monitored

None of these proves tracking, but they are clues. Your laptop may have a work or school account under Settings > Accounts > Access work or school. It may show a message such as “Some settings are managed by your organization” in Settings. It may have a company app, such as Company Portal, or security software that you did not install. Or it may sign you in with a company account. If you see any of these, assume that the laptop is managed and ask IT what is collected.

What to do if you are worried about privacy

Start by asking, in writing, what the company monitors and why. Keep personal email, banking and shopping on your own devices. Do not try to hide or remove management software from a company laptop, because it can break your agreement and cause trouble at work. If you believe the monitoring is unlawful, ask a local employment advice service or a lawyer, because the rules depend on where you live.

Can an employer track a laptop that is turned off or reset?

A laptop that is off or offline cannot report its location. When it connects again, a management tool may update its record. A factory reset removes your files and settings, but if the laptop belongs to your employer, resetting it may break company rules, and the management tool may reinstall on its own. Do not reset a work laptop without asking IT.

Working from home with a company laptop

Working from home does not change who owns the laptop. If the company manages it, the same tools apply. Your home Wi-Fi and IP address may show your approximate area to company services. If you do not want your employer to see something, do not do it on a work laptop. Keep personal things on your own device.

Personal laptops and bring-your-own-device

If your employer asks you to enroll your personal laptop, read what you are agreeing to. Ask what the company can see, and what it can do, such as wipe the device. Some companies only require work apps and accounts, which gives them less access. You can often refuse, and use a company laptop instead, but check your policy.

Frequently asked questions

Can my employer see my home address from my laptop?

Not directly from an IP address, which shows an approximate area. A management tool could show a location for a lost company laptop, if that feature is on. Ask your IT team.

Can my employer see my browsing history?

Microsoft lists web browsing history as not visible for Intune-enrolled devices. A company network, a proxy or a monitoring tool may record more, so ask what your company uses.

Does a VPN hide my location from my employer?

A company VPN routes traffic through the company, so it is more visible to them. A personal VPN on a company laptop may break policy.

Should I use a work laptop for personal tasks?

It is better not to. Even if the company cannot see everything, work devices are the company’s property, and some policies forbid personal use.

Can I find out what my company collects?

Yes. Ask IT or HR, and read the privacy notice or policy. In many places, employers must tell staff about monitoring.

If my laptop is lost, can my employer find it?

Possibly, if the company uses a tool with that feature. For your own laptop, read our guide on how to track a lost or stolen laptop.

Can my employer track me when I am not working?

If the laptop is managed and has a location feature turned on, it could report a location while it is online, even outside work hours. This depends on the tool and on local law. Ask your IT team and read the policy, and do not leave a company laptop on if you want it not to connect.

Will my employer know if I use a personal email account on a work laptop?

Microsoft says email is not visible through Intune. A company network or monitoring tool may still record which sites you visit or how long you use them. It is safer to treat a work laptop as work only.
